Domby Technologies Ltd. ("Domby", "we", "us") built Domby to help landlords manage their properties and tenants. This policy explains what information we collect, why we collect it, and what we do with it. It applies to landlords who sign up directly and to tenants whose details a landlord adds to the platform.

Information we collect

When you create an account, we collect your name, email address, and password. You can also add a phone number. If you're a landlord, you'll add information about your properties (names, addresses, unit counts, rent amounts) and your tenants (names, contact details, lease terms, rent payment records). If you submit a maintenance request or send a notice, we store the content of that request or notice.

We also collect some basic technical information automatically, like when you signed in and which browser you used. This is standard information most websites collect, and we use it mainly to keep the platform secure and working properly. Tenant information

In most cases, tenant records are added by a landlord, not created by the tenant. If your landlord has added you to Domby, they are responsible for having your consent to store your information for the purpose of managing your tenancy. If you'd prefer your information not be stored this way, contact your landlord directly, or reach out to us and we'll help.

Tenants who create their own login to view their rent status and maintenance requests control their own account information the same way landlords do.

How we use your information

We use the information we collect to operate the platform: creating and managing your account, storing your property and tenant records, sending rent and lease expiry reminders, and letting you record and review payments and maintenance requests. We also use it to send you account related emails, like password resets and confirmations, and to respond when you contact us for support.

We do not use your information for advertising, and we do not build profiles of you to sell to third parties.

Who we share information with

We don't sell your personal information. We share information only with the service providers that make Domby work:

  • Our database and authentication provider, which stores your account and property data securely.
  • Our payment provider, for landlords who subscribe to a paid plan, once online billing is live.

We may also share information if required by law, such as in response to a valid court order, or to protect the rights, property, or safety of Domby, our users, or the public.

How we protect your information

All data sent between your browser and Domby is encrypted in transit. Passwords are never stored in plain text. Access to your property and tenant data is restricted so that only you, and tenants you've linked, can see it. No system is perfectly secure, but we take reasonable steps to protect your information against unauthorized access.

How long we keep your information

We keep your information for as long as your account is active. If you'd like your account and associated data deleted, contact us at the email below and we'll process the request, subject to any records we're required to keep for legal or accounting reasons.

Your rights

You can access, correct, or request deletion of your personal information at any time by contacting us. If you're in Nigeria, this policy is intended to comply with the Nigeria Data Protection Act and the NDPR. If you're elsewhere, you may have additional rights under your local law, and we'll do our best to accommodate reasonable requests.

Children's privacy

Domby is a business tool for landlords and their tenants. It isn't directed at children, and we don't knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy as Domby changes. If we make a material change, we'll update the date at the top of this page. Continuing to use Domby after a change means you accept the updated policy.
